Grantmakers in the Arts (GIA) is the only national association of private and public funders making grants to artists and arts organizations in America. The mission of GIA is to provide leadership and service to advance the use of philanthropic resources on behalf of arts and culture.
Supervised by the Director of Development & Membership, the Development & Membership Associate is responsible for maintaining accurate and up-to-date member and donor records and membership and funding partner files; conducting timely membership renewals and member and donor acknowledgements; and assisting with all aspects of member/donor recruitment, retention, engagement, and acknowledgement.
The Development & Membership Associate acts as the primary staff contact for GIA members regarding membership-related issues, and provides secondary staff support to the Board resource development committee.
Membership and donor database
- Maintain and update online database, ensuring information is accurate and current
- Maintain database protocols for members, prospects, and funding partners
- Work with members to update information as needed and utilize member resources through GIA website and database
- Work with database administrator to maintain and develop functionality of database
Member and donor recruitment and retention
- In collaboration with the Director of Development & Membership and the Board, implement annual membership identification, recruitment, and retention strategies
- Process membership and funding partner payments, and work with Administrative Assistant to generate and mail thank you letters within one week of receiving dues and contributions
- Work with Administrative Assistant to ensure that member benefits are fulfilled in a timely manner
- Assist in carrying out special membership and fundraising solicitations
- Assist Staff and Board in implementation of annual fundraising campaign and submission of funding partner requests
- Ensure that GIA membership information is provided at key arts and philanthropy gatherings nationwide
Recordkeeping
- Maintain up-to-date and accurate member and funding partner files
- Gather print information from members and maintain organizational information in GIA’s membership files
Reporting
- Maintain calendar of grant reports and assist Director of Development & Membership in preparing and submitting timely funding partner reports
- Retrieve and synthesize data and information about the membership and funding partners to assist staff and board in development work
- Prepare monthly reports for use in tracking progress and identifying membership and development opportunities, as well as reconciliation reports for Finance & Operations
- Assist in tracking member data through annual surveys
Member services
- Serve as lead contact with GIA members regarding membership and member benefits
- Distribute GIA communications to members via email and mail
- With the Director of Development & Membership, provide staff support to the Board resource development committee by taking minutes and providing background reports and other materials needed to support its work
- Manage data gathering and export up-to-date, accurate information in order to produce annual member directory in print and online
- Coordinate new member reception and mentorships during GIA’s annual conference
Other
- Provide staff support to the annual conference, manage member services on-site, as needed
- Other duties as determined by the Executive Director in consultation with the Director of Development & Membership
